About the role Join our dynamic team at Bright Interactive as an Executive Assistant, where you'll play a pivotal role in supporting our leadership team and ensuring the smooth operation of our fast-paced digital marketing agency. This position offers an exciting opportunity to leverage your organizational skills and attention to detail to make a meaningful impact on our organization's success. Some of what you will do: • Provide high-level administrative support to executives, including managing calendars, scheduling meetings, and coordinating travel arrangements. • Serve as the primary point of contact for internal and external stakeholders, demonstrating professionalism and discretion in all communications. • Prepare and distribute correspondence, reports, and presentations, ensuring accuracy and adherence to brand standards. • Assist with project management tasks, including tracking deadlines, organizing files, and preparing meeting agendas and minutes. • Conduct research and compile data to support decision-making and strategic initiatives. • Coordinate and oversee special projects and events, from inception to execution, ensuring timely completion and alignment with organizational goals. • Manage expense reports, invoices, and other financial documents with attention to detail and confidentiality. • Prioritize and manage multiple tasks simultaneously, anticipating needs and proactively addressing issues to ensure efficient operations. • Maintain confidential information and sensitive documents with the utmost discretion and professionalism. • Collaborate with cross-functional teams to streamline processes, improve efficiency, and enhance communication and collaboration across the organization. What will help you be successful: • Minimum of 1 year of experience as an executive assistant or in a similar administrative role, preferably in a fast-paced environment. • Bachelor's degree in Business Administration, Communications, or related field preferred. • Exceptional organizational skills and attention to detail, with the ability to manage multiple priorities and meet deadlines in a fast-paced environment. • Strong written and verbal communication skills, with the ability to interact professionally with individuals at all levels of the organization. • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other productivity tools. • Demonstrated ability to exercise discretion and maintain confidentiality when handling sensitive information. • Proactive problem-solving skills and ability to anticipate needs and take initiative to address them. • Strong interpersonal skills and ability to work collaboratively in a team-oriented environment. • Flexibility and adaptability to changing priorities and deadlines.
