Planate Management Group (PMG) is a Service-Disabled Veteran-Owned Small Business (SDVOSB) headquartered in Alexandria, Virginia, and Orlando, Florida USA with technical support centers in South East Asia and East Africa, that provide program management and facilities engineering services worldwide. Planate is a small business provider of planning, design, infrastructure management, technical consulting, engineering, and construction management services in support of the US Department of Defense (DOD) and its Service (Army, Air Force, Navy, Marine Corps) missions, along with other US federal agencies, all over the world.
The Proposal Lead Coordinator will work closely with the Proposal Manager and technical teams to coordinate and produce compelling proposals, statements of qualifications, and presentations. This role involves managing proposal timelines, developing compliance matrices, drafting and editing content, and ensuring final submission quality.
Duties and Responsibilities:
• Analyze and understand RFPs, RFQs, EOIs, and other solicitation documents to create compliance matrices.
• Lead and participate in proposal kick-off meetings to develop strategies, schedules, and tactics.
• Plan, write, edit, and design unsolicited proposals and responses to RFPs, RFQs, and EOIs.
• Coordinate internal and external team members to gather necessary information (graphics, technical content, CVs, etc.).
• Manage proposal updates, amendments, and correspondence throughout the process.
• Maintain a library of proposal materials and reference documents.
• Facilitate the proposal review process and ensure the production of the final draft.
• Coordinate all proposal materials, including graphics, text, forms, and sub-consultant materials, ensuring consistency and quality.
• Oversee in-house printing, binding, and final deliverables.
• Perform other responsibilities associated with this position as may be appropriate.
Qualifications to be successful in the role:
• Bachelor’s degree in Journalism, Communication, Marketing, Business Administration, or a related field, or an equivalent combination of education and experience.
• 5 to 8 years of experience, with 3 to 5 years in a leadership capacity.
• Experience working in diverse environments and managing multiple projects simultaneously.
• Experience with RFP, RFQ, RFI, EOI, SS, and SOQ responses for the A/E industry.
• Familiarity with U.S. Government contracting and procurement processes.
• PMP certification is desired but not required.
• Strong organizational, writing, editing, and communication skills. Ability to work under pressure and meet deadlines. Detail-oriented with excellent team collaboration skills.
• Proposal writing experience, including technical writing.
• Proficient in Adobe Acrobat Pro, Microsoft Office Suite (especially Word), and Adobe InDesign (a plus).
