Job Description: Executive Assistant to CEO Position Title: Executive Assistant to CEO Location: Remote/Onsite - Relocation Company: Ahlan Rides Overview We are seeking a highly organized, proactive, and resourceful Executive Assistant to support the CEO of Ahlan Rides. This role requires exceptional multitasking abilities, attention to detail, and strong communication skills. As the Executive Assistant, you will play a pivotal role in ensuring the CEO’s time, tasks, and priorities are managed effectively, enabling the company to achieve its strategic goals. Key Responsibilities Administrative Support • Manage the CEO’s calendar, appointments, and travel arrangements. • Schedule meetings, prepare agendas, and coordinate logistics. • Handle email correspondence and communication on behalf of the CEO. Meeting Management • Attend meetings with or on behalf of the CEO, take detailed notes, and distribute minutes. • Track follow-up tasks and ensure timely completion. Strategic Support • Assist in preparing presentations, business reports, and strategic documents. • Conduct research and provide insights for decision-making. • Analyze and summarize information to support business planning. Task and Priority Management • Organize and prioritize the CEO’s to-do list and projects. • Maintain a record of ideas, strategies, and ongoing tasks for timely execution. Communication Liaison • Act as the point of contact between the CEO and internal/external stakeholders. • Build and maintain relationships with key clients, partners, and team members. Project Coordination • Oversee key projects assigned by the CEO, ensuring timelines and objectives are met. • Collaborate with departments to align project deliverables with business goals. Confidentiality and Professionalism • Handle sensitive and confidential information with discretion and integrity. • Ensure professionalism in all interactions representing the CEO and the company. Event Planning and Coordination • Organize workshops, events, and conferences for the CEO or company as needed. • Manage logistics for business trips, including itineraries and travel-related tasks. Problem-Solving and Adaptability • Address ad hoc challenges and resolve issues to maintain the CEO’s productivity. • Stay flexible to accommodate dynamic and changing schedules. Process Improvement • Propose and implement systems to improve efficiency in daily operations. • Leverage tools and technologies to streamline workflows. Requirements • Education and Experience • Bachelor’s degree in Business Administration, Management, or a related field. • 3+ years of experience in an executive assistant or similar role (experience supporting C-suite executives is preferred). Skills • Exceptional organizational and time-management skills. • Strong verbal and written communication abilities. • Proficiency in tools like Microsoft Office Suite, Google Workspace, and project management software (e.g., Trello, Asana, Notion). • Analytical mindset with a high level of attention to detail. • Proactive and solution-oriented approach. Personal Attributes • Professional demeanor and ability to represent the CEO effectively. • High level of discretion and ability to handle confidential matters. • Strong interpersonal skills for building relationships across the organization and externally. Tech-Savvy • Familiarity with collaboration tools (Slack, Zoom) and CRM systems (Salesforce, HubSpot) is a plus.
