Position Summary
This position supports the Child and Youth Program (CYP) Joint Operations Community Based Fee Assistance Program by providing administrative and technical services. The ideal candidate will help families with registration, enrollment, and subsidy determinations while ensuring compliance with program policies.
Key Duties and Responsibilities
Family and Fee Assistance Support
• Review child registration and enrollment documents to confirm accuracy and completeness.
• Verify eligibility, employment, and income documents to calculate military child care fees.
• Collect enrollment information to determine subsidy benefits for children in community care.
Provider Verification
• Confirm licensing and accreditation information for community providers using official state or accrediting body resources.
Claim and Data Processing
• Process monthly claim forms, ensuring benefits align with authorized amounts.
• Reconcile overpayments, returned checks, or payment discrepancies.
• Maintain organized and accurate reports, records, and databases for fee assistance.
Communication and Collaboration
• Support families via phone, email, and online messaging to address financial obligations, waiting lists, and program policies.
• Assist providers with enrollment, subsidy awards, payments, and certification processes.
General Responsibilities
• Research records to resolve discrepancies, notifying supervisors of unresolved issues.
• Ensure compliance with safety, policy, and documentation standards.
• Prepare and submit daily, weekly, and monthly reports as required.
Qualifications
Minimum Requirements
• Education/Experience:
• 1+ years of child care fee assistance work experience, OR
• Associate’s Degree in Business Administration, Project Management, or related field, OR
• Equivalent combination of education and experience.
Knowledge and Skills
• Familiarity with military child care programs, such as Child Development Centers and School-Age Care.
• Knowledge of fee assistance programs and related policies.
• Experience with program databases, such as MilitaryChildCare.com (MCC) or Child and Youth Management System (CYMS).
• Proficiency in general office automation software and basic accounting procedures.
• Strong research and record-keeping skills, with attention to detail.
• Excellent written and verbal communication skills.
Conditions of Employment
• Must successfully pass E-Verify employment verification.
• Participation in Direct Deposit/Electronic Fund Transfer within 30 days of hire is mandatory.
• Subject to background checks as per DoD Instruction 1402.05.
• This is a drug-free Federal workplace; illegal drug use will result in removal from service.
