About the Role
The Order Entry Coordinator will play a crucial role in the timely and accurate entry of sales orders and modifications into the company's accounting software. They will act as the primary liaison between internal teams and the Purchasing Agent, ensuring that all orders and purchase orders (POs) are processed efficiently. The ideal candidate is highly organized, proactive, and adept at handling multiple tasks in a fast-paced environment.
Core Responsibilities
• Data entry of sales/orders within 24 hours of normal notifications and within 2 hours for HOT notifications.
• Maintain and update sales/order entries as needed, ensuring accuracy.
• Address any discrepancies between order quantities and actual deliveries upon arrival at the warehouse.
• Update the ERP system with any modifications or changes to orders.
• Follow up on notifications that cannot be entered for various reasons.
• Send timely notifications to relevant teams regarding changes to order costs or quantity discrepancies.
• Act as a liaison between internal teams and the Purchasing Agent.
• Provide backup support to the Purchasing team when needed.
• Achieve quarterly goals and meet Key Performance Indicators (KPIs).
• Assist in the generation of reports on order status, sales trends, and other relevant metrics.
• Contribute to identifying opportunities for process improvement in order entry procedures.
About You
• Minimum of 1 year of data entry experience, preferably in the flooring and/or construction industry.
• Proficiency with Microsoft Office programs.
• Highly organized, with strong attention to detail and accuracy in data entry and order processing.
• Ability to manage multiple projects simultaneously and thrive in a fast-paced environment.
• Excellent communication skills, both verbal and written, with the ability to work effectively as part of a team.
• Energetic, proactive, and solution-focused, with a strong work ethic and a drive for achieving goals.
Measures of Success
• All sales and orders entered into the ERP system within the required time frames (24 hours for standard orders, 2 hours for HOT notifications).
• All jobs assigned to appropriate projects in the ERP system with consistent naming conventions.
• Minimal data entry errors and discrepancies.
• Achievement of department and company goals, including meeting quarterly priority and KPI targets.
Work Conditions
• Equipment: All necessary equipment will be provided.
• Workstation: Your workstation should be set up in a safe and secure home environment with stable and reliable internet (minimum speed of 25 Mbps).
• Work Setup: Work from home
• Working Hours: Monday to Friday, US Hours Required.
