Position: Work Order Supervisor (Remote)
Location: 100% Remote
Harlem Property Management (HPM) is seeking a remote Work Order Supervisor to manage the maintenance workflow for residential properties located in New York City. You will play a critical role in ensuring smooth operations, tenant satisfaction, and timely completion of maintenance requests while collaborating with our NYC-based team.

Key Responsibilities
1. Work Order Management
• Review incoming work order requests for accuracy and completeness.
• Prioritize and assign work orders to appropriate maintenance staff or external vendors based on urgency and expertise.
• Track the progress of all work orders to ensure timely completion within established service-level agreements (SLAs).
• Close out completed work orders in the property management system, ensuring proper documentation.
2. Team Supervision and Coordination
• Supervise a team of work order specialists
• Coordinate schedules to maximize efficiency and reduce response times.
• Provide guidance and training to staff as needed.
• Conduct performance evaluations and address any personnel issues.
3. Vendor Management
• Maintain relationships with external vendors for specialized services.
• Request quotes, negotiate pricing, and monitor vendor performance.
• Ensure compliance with all contractual agreements and regulatory requirements.
4. Quality Assurance
• Inspect completed work orders to ensure adherence to company standards.
• Address tenant feedback promptly and implement corrective actions when necessary.
• Conduct routine audits of work order processes to identify and implement process improvements.
5. Compliance and Documentation
• Maintain accurate records of all work orders, including labor hours, materials used, and costs incurred.
• Prepare periodic reports on work order metrics, costs, and team performance.
6. Communication and Tenant Relations
• Serve as the point of contact for tenants regarding maintenance-related issues.
• Provide regular updates to tenants on work order status.
• Communicate effectively with property managers and other departments to ensure alignment on maintenance priorities.
Requirements
Candidates will be considered for the role if they can demonstrate the following:
• Minimum 3–5 years of experience in property management, maintenance coordination, or a similar role.
• Prior experience supervising teams is required.
• Proficiency in property management software and Google Apps is a plus.
• Strong organizational and multitasking abilities, experience managing maintenance workflows is a plus.
• Excellent English communication (written and spoken) and interpersonal skills are required.
• Problem-solving mindset and ability to handle high-pressure situations.
• Prior experience working with a firm located in the US is a plus.
